Policy Objective: policy objective description: The Leave policy provides employees with time off from work for reasons of rest and relaxation, illness, maternity, personal work etc. The objective of this document is to explain the leave entitlements and procedure for availing leave.
Policy Applicability: applicable to: All full-time permanent employees working in the organisation
Responsibility Matrix: reporting manager responsibility: Responsible for approving leaves, ensuring work coverage, and maintaining work-life balance, hr department responsibility: Validate available leaves, update policy guidelines, maintain leave records, and process leave applications, employee responsibility: Read and understand the policy, comply with leave procedures, provide advance notice, and maintain leave balances
Work from Office Requirements: mandatory days to work from office: 3 days per week
Earned Leave (EL): earned leave days per year: 12 working days, el crediting schedule: Monthly on 1st, el during probation: Credited after completion of 30 days on prorate basis, 1 day per month, maximum el that can be carried forward: 10 days, el encashment policy: Excess leaves beyond carry-forward limit can be encashed annually or at separation
Casual Leave (CL) & Sick Leave (SL): casual leave days per year: 12 working days, sick leave days per year: 6 working days, cl/sl crediting during probation: After completion of 30 days on prorate basis: 1 CL per month, 0.5 SL per month, cl clubbing restrictions: Cannot be clubbed with other leaves/holidays/weekends. Max 2 CLs together for non-leave scenarios., cl lapse policy: Un-availed CLs lapse at year-end and cannot be carried forward, sl medical certificate requirement: Required for leave beyond 2 days
Compensatory Leave: compensatory leave eligibility: For working on days when not officially due to work, with specific supervisor approval, compensatory leave approval: Must be authorized by Reporting Head before working extra day, compensatory leave usage rules: Must be availed within same month/succeeding month, lapses if not used, compensatory leave clubbing: Max 1 comp-off can be clubbed with holiday/weekend, requires written approval
Maternity Leave: maternity leave duration: 84 days paid leave, eligibility criteria: Permanent female employees with not less than 1 year of service, number of births covered: Restricted to two live births during service with the organisation, maternity leave application: Must be applied not less than 2 months prior to commencement date, exclusions from maternity leave: Miscarriage or pregnancy-related illness not considered maternity leave, esi covered employees: Employees covered under ESI shall be governed as per ESI guidelines
Paternity Leave: paternity leave duration: 2 weeks
Emergency/Personal Leave: emergency leave days per year: 5 days
Leave Booking Procedure: minimum advance notice required: 7 days, leave approval requires: Manager approval

Leave Without Pay (LWP): lwp permission: Not permitted as standard practice, decided on case-to-case basis, lwp application requirements: Must apply with details of need/reason, approval at Management discretion. Any changes in the Maternity Benefit Act as per the law will be applicable from time to time., leave in excess of entitlements: Not permitted, any exceptions require Management approval

Leave Application Process: primary leave application method: HRMS system, minimum advance notice required: 2 working days, emergency leave procedure: Inform supervisor immediately, follow up with formal application within 24 hours, leave approval hierarchy: Supervisor → Department Head → HR approval for leave above 3 days, additional application information: Leave applications must include reason for leave, contact details during absence, and work handover plan for extended leaves. EL/Leave without pay has to be applied for and approved at least 2 days in advance., vacation planning procedure: Employees advised to discuss vacation plans at least two weeks in advance with reporting manager if leave period exceeds 2 working days, leave balance visibility: Current leave balances reflected in payslip on monthly basis, late leave application procedure: Inform reporting manager by phone/email at leave start, submit formal application within 48 hours of resuming duty
Adjustment Against Notice Period: leave adjustment during notice period: No leaves can be adjusted against notice period without approval, adjustment approval requirements: Any adjustment of leaves has to be approved by respective HOD, without approval employee serves full notice period
Policy Validity and Amendments: management amendment rights: Management reserves the right to make any changes to this policy at any point with appropriate notice, policy interpretation authority: In exceptional circumstances or doubt about interpretation, Management decision will be final and binding
